A Revenue Account Specialist is responsible for capturing revenue timely and accurately while being able to understand how the revenue is applied.  The RA Specialist will use this data to answer questions regarding the location(s) in which they are required to audit.   

To accomplish these tasks which will result in timely and accurate invoices to customers and accurate liabilities captured, the Specialist:

 

  • Must read and understand tariff and contract pricing.
  • Determine and audit railroad revenue moves.
  • Correctly apply rates and payables per the contracts related to the moves.


In addition to daily job functions, the Specialist will be responsible for the following, with the goal to prepare to for future growth within our business:

 

  • Advance technology when needed.
  • Continually review and streamline written processes and automation.
  • Document past and present processes for reference.
  • Document workflow for cross training among team members.
  • Applying common sense (such as the ability to create and analyze reports to come to conclusions).
  • Be able to meet or exceed all internal and external customer needs.
  • Handle multiple projects at once, while ensuring everything gets completed timely.
  • Other responsibilities may be assigned, as required.


In this position, the Specialist will adhere to current controls while creating new controls as new types of businesses are acquired to minimize risk and protect revenue. This includes, but is not limited to, correcting data, and protecting integrity of the data whenever errors are discovered.

 

Duties

 

  • Review and/or apply revenue associated with all invoices produced including, but not limited to freight, storage, demurrage, transload, contract switching, and various other railcar moves on a daily, weekly, bi-weekly, and monthly basis as well as prepare for invoicing.
  • Ensure proper creation and entry (either manual or automated) of all invoices for corresponding billing periods.
  • Send invoices to customers as soon as they are created and respond to any disputes timely.
  • Maintain job process book for the details of job duties.
  • Enter and maintain charge rules and charge codes within operating systems for all current and future contracts and tariffs.
  • Consistently improve existing processes that will achieve improved customer satisfaction and improved profitability for the long-term.
  • Utilize process controls and information technology services to maximize the revenue and data integrity and increase efficiencies.
  • Understand all the inner workings of each function of the department.
  • Have a firm understanding of other departments that directly relate to the Invoicing Department.
  • Provide coverage during shifts that need attention, including other departments.
  • Provide training of new hires.


The work is performed under the direct supervision of the Management of Revenue Accounting (Railroad) but extensive leeway is granted for the exercise of independence and initiative.

  • Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Deal with problems involving several concrete variables in dynamic situations. 
  • Ability to travel.
  • Create training manuals and provide training courses.
  • Use Microsoft programs proficiently; such as Excel, Outlook, Word, PowerPoint, Teams.
  • Use SAP, RMI, WATSS, Outlook, and any other systems necessary to perform job functions, and be able to easily jump between systems to work through tasks.  Training will be provided, however individual is responsible for learning to proficiency.
  • Read and interpret documents such as contracts, tariffs and procedure manuals.
  • Understand detailed conditions of a contract and translate those conditions into system “rules” to apply rates and payables correctly for system automation.
  • Multi-task and keep track of open projects/tasks that need to be completed.
  • Prioritize your daily duties along with any tasks that have been assigned to you, while ensuring that no task gets missed.
  • Sort through and organize large amounts of emails.
  • Continuous improvement of errors through identification of ROOT CAUSE AND RESOLUTION via Watco Dispute and Credit/Debit memo processes.
  • Create positive CUSTOMER FIRST culture and atmosphere across all departments through long term relationships internally and externally.
  • Must work well as team player with a positive attitude.

Education and Experience

 

Required:  Three to six years related experience and/or training; or equivalent combination of education and experience
Preferred:  Bachelor’s Degree in related field (Business, Accounting, Communications, etc.)
