The Accounting Administrator of Watco Logistics – Colossal is responsible for ensuring accuracy and compliance in all financial processes, with a focus on payables, receivables, vendor management, and adherence to GAAP standards. This role ensures financial accuracy, maintains organized records, and provides administrative support to the accounting department. The ideal candidate will be proactive, dependable, and skilled in both technical accounting and effective communication.
Essential Duties and Responsibilities
- Confirm financial status by monitoring revenue and expenses
- Process purchase orders and review project budget before assigning
- Manage accounts payable and accounts receivable functions accurately and efficiently
- Maintain compliance with Generally Accepted Accounting Principles (GAAP)
- Ensure budgets are monitored and maintained; identify variances as needed
- Conduct weekly check runs and manage vendor payments
- Handle invoice disputes, resolve discrepancies, and ensure timely resolutions
- Assist with closing activities including reconciliations, journal entries, reports
- Vet and set up new vendors and customers in accordance with company policies
- Maintain and update vendor files and accounting records
- Utilize Excel and other tools for reporting, data analysis, and reconciliation
- Assist with financial audits and internal reviews
- Prepare and distribute routine accounting and financial reports to management
- Maintain and follow internal control procedures to safeguard company assets
- Coordinate the collection, consolidation, and evaluation of financial data
- Maintain financial security by establishing internal controls for confidentiality
- Identify and recommend process improvements to increase efficiency
- Perform general administrative duties to support the accounting department
- Maintain confidentiality of sensitive financial and vendor/customer information
- Collaborate effectively with internal teams and external partners to ensure smooth financial operations
Skills and Abilities
- 3+ years of experience in accounting or finance administration
- Strong understanding of GAAP and financial statement preparation
- Proficiency in Microsoft Excel; experience with accounting software preferred
- Excellent organizational skills with a strong attention to detail and accuracy
- Strong communication skills, both written and verbal
- Ability to manage multiple priorities and meet deadlines
- Problem-solving skills for resolving invoice disputes and vendor issues
- Ability to work independently, with little supervision
- Positive attitude, strong problem-solving abilities, and a focus on customer satisfaction
- Effective customer service skills and the ability to service both internal and external customers
Education
- Associate’s or bachelor’s degree in Accounting, Finance, or related field preferred.
